FRONT DESK ASSISTANT

We are looking for a professional with a friendly attitude and the ability to multi-task as our Front Desk Assistant. This person will be the “face” of the company for everyone entering our building, and will be responsible for the first impression that we make as a company, thereby reflecting on the company as a whole.

Front Desk and Administrative duties include, but are not limited to:

  • Operate a multi-line phone system to answer calls, transfer calls, provide information, take messages, and greeting and welcoming customers and employees in person – high volume of activity.

  • Incoming and outgoing mail, as well as receiving and organizing Fed/Ex and UPS Shipments.

  • Maintain the front desk/reception area at all times, keeping it clean and free of clutter.

  • Create invoices for customers and handle cash and credit card transactions.

  • Sort daily receipts, packing slips, and hauling tickets.

  • Monitor and order supplies for the Office and the Shop.

  • Process the daily cash deposit and the month end credit card processing statement.

  • Work with Dispatch on the daily Truck Schedule.

  • Process orders for Topsoil, Slate, and Stone for our customers.

  • Payroll check distribution.

  • Copying, filing, faxing, scanning, and data entry.

  • Responsible for dealing with the vendors that maintain our office equipment.

  • Above average, effective, and clear written and verbal communication skills.

  • Customer service oriented – pleasant, attentive, and accommodating – create customer satisfaction.

  • Organized, efficient, dependable, detail oriented, multi-tasker, perceptive, and disciplined.

  • Ability to work under pressure at times in a busy work environment.

  • At least 2 years of experience in a similar position in this type of professional setting. Knowledge or experience with the construction/excavation industry will be a plus.

  • High school diploma or G.E.D. required – additional qualifications, education, or training will be a plus.
